Health and Safety Policy for Cleaners E8
This Health and Safety policy sets out how Cleaners E8 safeguards the wellbeing of our staff, clients, visitors and the general public while providing professional cleaning services. Our operations include domestic, commercial, end of tenancy, office and communal area cleaning across the E8 area and surrounding neighbourhoods.
Policy Statement
Cleaners E8 is committed to providing and maintaining a safe and healthy working environment, so far as is reasonably practicable. We will manage our activities in a way that prevents injury and ill health, minimises risks, and complies with all relevant health and safety legislation and recognised industry best practice.
Health and safety is a core part of how we plan, deliver and review our services. Every employee and contractor is required to follow this policy and related procedures as a condition of working with Cleaners E8.
Responsibilities
Overall responsibility for health and safety lies with the company management. Management will:
Ensure suitable resources are in place to implement this policy, carry out and review risk assessments for all significant hazards, provide appropriate training, information and supervision, supply and maintain suitable equipment and personal protective equipment, monitor compliance and take action where standards are not met, and review this policy regularly and update it when necessary.
Supervisors and team leaders will:
Plan work so that it can be carried out safely, brief cleaners on site specific risks and safe systems of work, check that equipment is used correctly and safely, report and investigate accidents, incidents and near misses, and support staff in raising and resolving health and safety concerns.
All cleaners and other workers have a duty to:
Take reasonable care of their own health and safety and that of others affected by their work, follow training, safe systems of work and instructions, use protective equipment and cleaning products correctly, report hazards, accidents, incidents and near misses without delay, and never work under the influence of alcohol or drugs.
Risk Assessment and Safe Working Practices
We carry out risk assessments for our cleaning activities and for specific client sites where appropriate. These assessments identify hazards, the people who may be affected, and the steps required to control or reduce risks.
Safe working practices are developed from these assessments and include guidance on manual handling, working at height for low level tasks such as step ladders, use of electrical equipment, handling and storage of cleaning chemicals, lone working and out of hours work, and dealing with slips, trips and falls hazards.
All employees are expected to follow these procedures at all times and to seek clarification if unsure about any aspect of safe working.
Use of Cleaning Chemicals
Cleaners E8 uses cleaning chemicals that are appropriate for professional use and, wherever possible, low risk products that are effective and environmentally considerate.
We will ensure that product safety data is available and understood, chemicals are correctly labelled and stored, decanting is carried out safely where needed, chemicals are never mixed unless specified by the manufacturer, appropriate gloves and other protection are provided and used, and ventilation is considered when using products that can produce vapours or strong odours.
Clients will be informed if a particular area needs to be kept clear during or after application of any specialist product.
Equipment and Electrical Safety
All equipment used by Cleaners E8, including vacuum cleaners, floor machines and other powered tools, will be maintained in safe working order.
We will use equipment suitable for the task, visually inspect equipment and cables before use, remove damaged or defective equipment from service immediately, avoid overloading sockets or using unsafe extensions, keep trailing cables managed to prevent tripping, and provide training on the safe use of all specialist equipment.
Manual Handling
Cleaning tasks often involve lifting, carrying, pushing and pulling. To minimise the risk of strains and injuries, we will avoid unnecessary lifting wherever possible, use trolleys or other aids for heavy or bulky items, train staff in safe lifting and carrying techniques, encourage workers to work within their physical limits, and organise workloads to reduce repetitive or sustained awkward movements.
Slips, Trips and Falls
We recognise that wet floors, cluttered areas and trailing cables can create significant risks. To control these risks, we will place warning signs when floors are wet, clean in sections to maintain safe access where possible, use suitable cleaning methods for the floor surface, promptly clear spillages and obstructions, keep work areas tidy and equipment stored safely, and report any floor damage or lighting problems that increase risk.
Lone Working and Client Premises
Many cleaning tasks are carried out at client homes or business premises, sometimes outside normal hours. We will assess risks associated with lone working and site access, keep an accurate record of work schedules and locations, ensure staff know how to raise concerns or request assistance, require respect for client confidentiality and property, and reserve the right to withdraw staff from any situation they reasonably consider unsafe.
Health, Hygiene and Welfare
Cleaners E8 promotes good hygiene and personal protective measures. We will provide guidance on hand hygiene and use of gloves, ensure suitable PPE is available where tasks require it, encourage staff to report health issues that may affect their work or be affected by chemicals, and promote safe practices when handling waste and sanitary products.
Training, Communication and Consultation
All staff receive induction training that covers health and safety responsibilities, safe working methods and emergency procedures. Additional task specific training is provided where required.
We will communicate updates to policies and procedures, encourage staff to raise health and safety concerns without fear of disadvantage, and consult workers when significant changes to work practices or risk controls are proposed.
Accidents, Incidents and Near Misses
All accidents, incidents and near misses that occur during our work must be reported as soon as possible. We will record and, where necessary, investigate incidents to identify root causes, take corrective action to prevent recurrence, and review risk assessments and procedures following significant incidents.
Monitoring and Review
Cleaners E8 will monitor compliance with this policy through supervision, inspections and review of incident reports. We are committed to continuous improvement and will update our health and safety arrangements when better methods or equipment become available, when work practices change, or when lessons are learned from incidents or feedback.
This Health and Safety policy applies to all staff and contractors working on behalf of Cleaners E8 and to all cleaning activities carried out by the company across its service area.
